Using the auto-scheduler to schedule a season

Modified on Fri, 05 Nov 2021 at 12:44 PM

We know you don’t want to fuss trying to make a schedule, so we can take care of all of that for you.  Our auto-scheduler is easy to use, can conform to a number of different situations and can be used even if you don’t really know what dates your season will be played but just want to get the match-ups set.  Our scheduler will automatically evenly divide the amount of home and away games and give you options for inter-divisional play only, inter-conference play only, team preferences and more.

Step 1

Go to schedules ->season schedules from the main menu

Step 2

You will be presented with a list of all active seasons and the number of games played and scheduled.  Choose which season you would like to schedule from this list.   The choose auto scheduler from the options menu

Step 3

You will be presented with our schedule wizard below.  Fill in all required options.  The following list and explains what each field represents:

1) Start date: This is the date when the very first game is to be played. If you are unsure of dates, just choose TBD. We can schedule your games anyway and you can then go in and set the dates later.

2) Game Played: Set the number of games to be played by each team

3) Practices: If you would like to schedule any practices, enter it here. Note, practices will be scheduled starting on the startdate and will be fulfilled before any games are scheduled. I.E. if you schedule 1 practice here, the first week will be practices and the second week will start with the games.

4) Standard Duration: This let’s us know how long your games will last. When you indicate your time slots, we will add on the duration to automatically calculate the end times of your games.

5) Inter-conference play: If you have multiple conferences, you may force the schedule to only create match-ups for teams within the same conference.

6) Inter-divisional play: If you have multiple divisions, you may force the schedule to only create match-ups for teams within the same division.

Step 4

You need to provide the time slots for the games.  You will need to provide an arena, day, and start time.  If you are scheduling TBD games, day will be ignored.  You will be shown the minimum amount of timeslots needed to schedule each team at least once per week.  If you would like to have teams play multiple times per week, just add more time slots then the minimum.  Click on the next step button when all time slots are added.

Step 5

If you want to set any preferences for teams, you can do that here. You can request teams play at a certain time, day, only before a time, only after a time, or they can’t play at a time at all.  When you are finished, Click Schedule Creation and Verification.

Step 6

You schedule creation may take anywhere from 10-20 seconds.  Once complete, you will land on the Schedule Verification screen. This highlights the most important information about your season schedule. From there, you can view a break down of the games by Home/Away, Week, Time, or view the entire season schedule under the Schedule Preview to verify that the auto scheduler took into account all of your preferences.

Step 7

If your schedule has conflicts, you will be notified on the Overview tab of the Schedule Verification screen. You can resolve conflicts on the Schedule Preview screen by clicking on the Schedule Preview tab.

Step 8

To resolve conflicts, adjust the date, time, and arena to resolve the conflict. Once your conflicts have been resolved, just click on the Save Completed Schedule button at the bottom of the Schedule Preview screen.

Step 9

After saving your schedule, you can view your season schedule by clicking on the season from your seasons list and clicking View Schedule. Here you can edit, delete, or swap any games you would like to! You can also filter by division or team, as well.
