Manually Adding Teams & Rosters (No Payment Attached)

This covers how to enter teams and roster through the software.  Teams can also be automatically registered by sales through the POS system without any interaction by you.  This is the preferred method as it will invoice the team and also track payment information for you.

ADDING TEAMS

When creating teams, it is important to understand when and how to re-use a pre-existing team in your system.  Selecting and re-using a team is essential to keep the proper history and record tracking.  Not only does our system track league and season leaders, but we will also track team leaders and records.  If you have a men’s team that constantly plays every season, you should only create that team once and then re-use them in every subsequent season.  Below will depict how to go about this process.

Step 1

Go to Leagues and Seasons -> Teams from the main menu




Step 2

Select teams by season in the center of the screen.  Then choose the appropriate season.




Step 3

Select Add new teams to season at the bottom center of the screen




Step 4

Type in your team’s name.  Upon typing, the software will automatically search previous teams in the system.  If you think the team has played there before, only type the 4-5 characters of the name and allow the software to retrieve the team for you.  If they exist, please select them from the list.  If they do not exist, continue to type out the entire name of the team.




Step 5a

If the team exists in your system and you selected them from the list, you will be presented with the following screen.  You have the option to automatically import the previous season’s roster with the team.  This can be a time saver if there are only a few minor additions/deletions.  You can go into the roster later and make these small amount of changes.




Step 5b

If the team is new, select the Team not found, Create new button.  You will be presented with the following screen.   Please fill in as much information as possible.  If you have a travel league and your teams have their own websites, the team colors are used to display team specific information on their sites.  The web API for your account can be used at multiple sites!



Step 6

Click add for step 5a or add team to queue for step 5b.

Step 7

Your teams are placed in a holding queue.  When you are finally done adding all the teams, please click Save.



ADDING ROSTERS AND TEAM MANAGEMENT

We support both players and team management in our rosters section of the software.  In addition, we can manage draft lists for those seasons that take individual registrations.  The following instructions will show you how to add new players, previous players, and draft players into a team.   For proper historical tracking, it is important that you re-use a player if they have played in previous seasons at your business.  This guide will show you how to properly achieve this.  NOTE: The user must have roster permissions to access this screen.

Step 1

Go to Leagues and Seasons -> Rosters from the main menu




Step 2

Select your season from the drop down at the top right of the screen




Step 3

You will be presented with a list of all your teams for that season on the left hand side of the screen.  Select a team to edit their roster.




TEAM MANAGEMENT

Step 1

Now that your team is selected, you can add team management and players.  Team management can be saved in the form of General Manager, Head Coach and Assistant coaches.  Team management will receive all communications for that team from the system.  To add team management, select the add team management button.




Step 2

You will be presented with a customer dialog with a search bar.  As stated before, it is important to use pre-existing customers in your system for historical purposes.  If you think the customer exists, start typing their name in the search bar.  The best way to search for a customer would be the first initial followed by the first couple letters of their last name.  I.E if we wanted to search for John Doe, it would be best to type “J doe” in the search box.



If the customer exists, they will appear in the drop down list shown below.  Just select them and hit save.

You will be presented with a choice of their title.  Select it and hit Save

ROSTER PLAYER

Step 1

Click on the Add roster player button on the bottom left of the screen




Step 2

You will be presented with a screen where you can add many players at one time.  As you continue to use our software, roster additions get easier as the customers will already exist within the system.  If you subscribe to our POS system, you will many times not even have to use this screen as the registration process handles this automatically.




Type in the players name in the search box to see if they exist.  As stated above, The best way to search for a customer would be the first initial followed by the first couple letters of their last name.  I.E if we wanted to search for John Doe, it would be best to type “J doe” in the search box.  If you find the player, select them.  Then just provide a position and number and click on Add Player.  The player will be added and you can continue on to the next player.




Step 3

If the player does not exist in the system, click on the Previous player not found, add new button.




Step 4

The window will change to allow you to provide all pertinent information for the new customer.  Required fields are highlighted in red.  Once complete, Click add new player.  Once again, this process is greatly simplified with our online registration and POS system.  The customer will be providing this information for you lessening your staff needs.




Step 5

Your customer will be saved and added to the roster.  You will be presented with a save dialog.





Hint

If you ever wish to see who is currently on the roster without exiting this screen, just click on the preview roster button on the top right of the screen.  You may move and keep this window open during the entire roster process.  As you add players to your team, this preview window will update automatically.
